KLDU Youth Soccer exists to develop young players in a small-group setting where every child gets real coaching attention. This document sets out what players, parents and coaches can expect from each other, and the rules that keep our programs safe, fair and enjoyable for everyone.

1. Player Code of Conduct

Every KLDU player agrees to:

• Arrive on time, in full uniform, with non-marking indoor shoes, shin guards and a water bottle.
• Give full effort and attention during training, and listen when a coach is speaking.
• Treat teammates, opponents, coaches and referees with respect at all times.
• Never use abusive language, physical aggression, bullying or discriminatory remarks.
• Take care of club and facility equipment, and help pack up at the end of a session.
• Accept coaching feedback and decisions without argument.

2. Parent & Guardian Code of Conduct

Parents and guardians agree to:

• Support their child's effort and development rather than focusing on results.
• Leave coaching to the coaching staff during sessions — sideline instruction confuses players.
• Speak respectfully to coaches, staff, other parents and players at all times.
• Drop off and pick up on time, and notify the club in advance of an absence.
• Raise any concern directly and privately with a coach or the Director, not on the sideline or on social media.
• Remain in the designated spectator area during training.

3. Coach Commitments

KLDU coaches commit to:

• Hold and maintain the coaching certifications required for their age group.
• Keep group sizes small so every player receives individual attention.
• Plan every session with clear technical objectives appropriate to the age group.
• Give every player meaningful participation — no child sits out for performance reasons.
• Provide feedback that is constructive, specific and age-appropriate.
• Never leave a player unsupervised, and follow all club safety procedures.

4. Registration & Payment

• Early-bird pricing. The early-bird rate applies to registrations completed on or before October 15. From October 16 the regular rate applies for the remainder of the season.
• Payment — 1×/week programs. The full season fee is due at the time of registration.
• Payment — 2×/week programs. The season fee is paid in two equal installments: the first at the time of registration, the balance due by December 31, 2026.
• Uniform fee. $70 covers the full kit — jersey, shorts, socks and a match ball. It applies to new players and to returning players who need a larger size.
• Sibling discount. 10% off the registration fee for one additional sibling.
• Referral credit. Get $30 off this season for every new family you refer — have them list your name at sign-up.
• Payment method. Payment is by e-transfer only.
• Consent, waiver & medical information. All consent, waiver and medical information is completed and signed online as part of registration. There is no form to print or return.
• A player's place is confirmed only once the first payment has been received and the online registration is complete.

5. Attendance, Refunds & Withdrawal

• Regular attendance matters — development depends on consistency. Please notify your coach in advance of any absence.
• Missed sessions. The club does not offer refunds or credits for sessions a player misses.
• Cancelling before the season. If you cancel on or before October 15, fees paid are refunded in full. After October 15 fees are non-refundable, as the club has committed facility and coaching costs for the season.
• Season-ending injury. If a player cannot continue because of injury, submit a written request with a doctor's note. The club will issue a credit worth 50% of the remaining unused weeks, applied to a future KLDU program. Cash refunds are not issued. Injury is the only exception to the policy below.
• Travel, extended absence and relocation. No refund or credit is issued for travel, family trips, extended absences, or a move out of the area. Registration reserves a place in the program for the full season and the club commits gym and coaching costs in advance. This policy applies to every family equally and no individual exceptions are made.
• Voluntary withdrawal. Withdrawal for any other reason must be submitted in writing. No refund or credit is issued after the season begins. The uniform fee is non-refundable once the order has been placed.
• Uniform sizing. Measure your child against the size chart in section 5a below and submit the size at registration. Exchanges for a different size are accepted within 7 days of pickup, provided the item is unworn and unwashed.

5a. Uniform Size Chart

Youth sizing. Chest is measured flat across the jersey, armpit to armpit — double it for the body measurement. Length is measured from the shoulder seam to the hem. Pick the row that matches your child's age, then check the chest measurement. If the child falls between two sizes, choose the larger one — jerseys are worn over a base layer and children grow through a 22-week season.

Measurements are the supplier's youth sizing and may vary by 1–2 cm. Shorts follow the same size code as the jersey. Adult sizes (AXS and up) are available on request for older or taller players. Questions about sizing: klittledevilsunited@gmail.com.

6. Health & Safety

• Allergies & medical conditions. Parents disclose any allergies, medical conditions or medications at registration and keep that information current. KLDU records this information so staff are aware of it and can assist in an emergency. Parents and guardians remain responsible for providing any required medication (for example an EpiPen or inhaler) and for informing the coach directly at drop-off.
• Players must not train while unwell or while recovering from an injury without clearance.
• Any player showing signs of a head injury will be removed from the session immediately and may not return without written medical clearance.
• Shin guards are mandatory. Jewellery, watches and hard hair accessories must be removed before training.
• Players are supervised only during scheduled session times, inside the facility or field area.

7. Photography & Privacy

KLDU may photograph or record training sessions for coaching review and for club promotional use, including the club website and social media. Families who do not wish their child to appear in promotional material may let us know by email before the first session; that decision will be respected without affecting participation. Personal information collected at registration is used only for club administration and is never sold or shared with third parties.

8. Discipline

Conduct that breaches this policy is addressed in the following steps, though the club may move directly to a later step where behaviour is serious:

1. A verbal reminder from the coach.
2. A conversation with the parent or guardian.
3. A written warning from the Director.
4. Suspension from one or more sessions.
5. Removal from the program without refund.

Violence, threats, harassment and discriminatory conduct — by a player or an adult — may result in immediate removal from the program.

9. Recreational Team Policy

• Groupings. Players are placed by age and stage — Tots (JK/SK), Juniors (Grade 1–3) and Seniors (Grade 4–6). The club may move a player between groups where it clearly serves their development.
• Small groups. Group sizes are kept small so every player gets coaching attention and repeated touches on the ball in every session.
• Equal opportunity. Recreational programs are developmental. Every registered player who attends takes part in the full session; there is no selection or benching by ability.
• Uniform & equipment. Players train in the KLDU uniform with shin guards, non-marking indoor shoes and a filled water bottle. The gym has a hardwood floor, so non-marking indoor soccer shoes or clean indoor court shoes are required. Outdoor cleats, turf shoes and street shoes are not permitted on the playing surface. The uniform fee covers a full set plus a ball for new players and for size changes.
• Facility rules. The gym is a school facility. Street shoes, food and drink other than water are not permitted on the playing surface, and families use only the designated entrances and waiting areas.
• Cancellations. If a session is cancelled by the club or the facility due to weather, facility closure, a public-health order or any other cause outside the club's control, make-up sessions are not guaranteed and no refund or credit is issued. Registration fees reserve a place in the program, not a guaranteed number of sessions. If an unusually high number of sessions is cancelled in a season, KLDU may, at its sole discretion, try to arrange one make-up session as a courtesy, but is under no obligation to do so.
• Communication. Session updates come from the club by email or text. Coaches do not discuss player matters during a session — please reach out afterwards.

10. Concerns & Contact

Raise any concern with your child's coach first. If it is not resolved, contact the Director. We aim to respond to every written concern within five business days.

This policy applies to all KLDU programs, including team training, private training, camps and PA day programs. The club may update it as needed; the current version is always available at the club website. Version: Winter 2026.
